Question:   1. Can you provide an itemized expenditure summary to include annual cost totals for each service requested to be performed according to section VII, pg. 7,8: HVAC maint, Plumbing, Lighting, Fire Protection maint, Backflow Prevention maint/testing, Door Maintenance, Snow Removal, Landscaping, Pest Control, Skill trades services, in the rfp for the last 5 years? 2. Is their a prevailing wage standard that has to be meet for the maintenance personnel working during this contract? 3. What is the annual expense for 1 maintenance worker employed by the state to maintain this property? 4. Is the contractor required to provide health care for the maintenance tech that is assigned to operate this job site? 5. Just for clarity, can the winning contractor expect to use all tools that related to property management services that are present on the site (ie. ladders, hand tools, mowers, snow blowers,etc.)? 6. If so, can a brief equipment list be contructed for the reason to determine if additional equipment is needed it can be purchased. 7. Will a administration work station be provided to the winning bidder for the purpose of performing the administrative tasks associated with this project? 8. If so, what does this administration are include? (i.e. cubical, chair, desk, computer, printer, phone, internet access, fax machine access, copier access,etc.)

Answer:   1) Each vendor has been given equal opportunity to tour the facility and review information provided within the RLB. It is our expectation that vendors utilize their experience and expertise to formulate costs related to these services. 2) Prevailing wage is only related to construction projects. The RLB is related to maintenance services only. Any construction projects related to this facility would go through the State of Ohio Capital Project process with the Department of Administrative Services, State Architects Office. 3) It is our expectation that vendors review the requirements within the RLB to formulate expenses for personnel to maintain this property. 4) ODJFS is not be responsible for providing health care for any contractor or vendor that is chosen to provide goods and services for the agency. 5) It is the expectation that each vendor provide their own tools to provide services at this site. Tools on site are the property of the State of Ohio. They will be inventoried and submitted for appropriate disposition. 6) N/A 7) A work station will be provided. 8) ODJFS will provide a cubical work station, desk, phone, fax machine access, copier access, computer, printer and internet access.

Question:   Is there ample storage to use to store equipment for companies self-performing landscaping, snow removal and any other exterior tasks?

Answer:   The Lima facility has a storage area for outdoor equipment which can be evaluated during the site tour as well.

Question:   Can you please provide a comprehensive equipment list: equipment type, maker of equipment, maintenance history performed on it and years in service for all equipment that is to be maintained (i.e. HVAC units, pumps, air handlers, fire suppression systems, extinguishers, etc.) for the sake of submitting a competitive bid.

Answer:   The equipment list shall be provided at the Lima site tour scheduled for 10 a.m. to Noon on January 24, 2012.

Question:   Interested in providing janitorial, landscaping and mechanical maintenance for this site.

Answer:   Interested vendors must register for the mandatory walk-through by January 20, 2012 as specified in the RLB document in order to attend the mandatory walk-through scheduled for 10 a.m.-Noon on January 24, 2012.

Question:   I did not make the walk thru, can I still bid this job?

Answer:   You must attend the walk-through in order to bid on this service. The deadline to register for the walk-through has been extended to January 20, 2012. Please refer to the RLB for the specific mandatory deadlines. The mandatory walk-through has been moved to (10 a.m.-Noon) January 24, 2012 and the deadline for vendors to submit bids is 3:00 p.m., February 15, 2012.
